How To Manage Email Accounts

Introduction

If you own so many different websites and blogs then it might become difficult for you to manage emails for all your websites. If you are using only one email address on all the websites then it will become really difficult for you to distinguish between all the emails. This will lead to frustration, and this frustration will never let you do anything properly. Below is the process that you should apply to manage email accounts that you have.

Step 1

Create different accounts email for all your websites

If you have five websites then you need to have different email accounts for all these websites. If you will use only one email address, it will cause a lot of confusion. We have already discussed that using only one email address for multiple websites that you own can be really frustrating for you or anyone else in the world. So, the first thing that you will need to do is to use different email accounts for different websites of yours. In this way, you will be receiving only related emails in those email accounts.

Step 2

Create different accounts email for sales, quotations and billing queries

If you are running all business websites then you will be receiving different emails in which some will be related to sales, in some emails customers will be asking for quotations and in some emails they will be inquiring about their bills. Again, receiving all these emails on the same email address will cause panic and confusion in your mind. It is a better idea to have different email accounts for different purposes under the same website. If you have a sales department, one quotation department and one billing department, it means that you need to have three emails accounts for each websites. So, there will be 15 email accounts for your five websites in total.

Step 3

Synchronize all accounts email with Gmail

Although, we have created different email accounts to manage emails from different websites, it will be really difficult for you to check all these emails individually. Do you think that you can keep an eye on 15 email addresses at the same time? It is possible, but it requires a lot of attention. However, the best thing that you can do is to synchronize all your email addresses with your Gmail ID. In this way, you will be receiving all the emails on your Gmail address but it will be mentioned that the email is from a particular website and from a particular department.

Step 4

Put emails from all websites under different labels

Now, create different labels in your Gmail account to manage and arrange all the emails. Make a label with the name of your first website and create three sub-labels named sales, quotes and billing. In the same way, create labels for all of your websites and you are done with managing your email addresses.

Step 5

Make sure to clear your spam box everyday

One of the best features offered by Gmail is spam detection. Make sure to delete emails from your spam box everyday, but before deleting, take a look at the addresses and subjects because sometimes an email can go to a spam box by mistake as well.
