What Is An Exchange Server Email Account?

Introduction

The exchange email account refers to an email account created especially for Microsoft Outlook, because some of the Outlook’s features require that you use a Microsoft Exchange Server email. The best thing about a Microsoft Exchange Server emails is that they are designed especially for both large and small companies in order to be used as a primary email accounts provider.

How does an email exchange account work?

Email exchange accounts are used mostly in Microsoft Outlook, and they are working by some standard protocols such as POP 3 and IMAP. Protocols are a system of electronically message formats and rules for exchanging messages between two computers (a more simple and easier to understand definition would be that protocols represent the syntax, semantics and synchronization of communication). The two big protocols used in exchange email by Outlook are POP 3 – Post Office Protocol version 3 (who supports simple download and delete requirements for accessing remote mailboxes – the client opens the email, stores it in his or hers personal computer and then they are automatically deleted from the server) and IMAP – Internet Message Access Protocol (the main difference between POP 3 and IMAP is that IMAP supports both online and offline modes of operation, IMAP is designed to leave the exchange email on the server until the client explicitly deletes it).

The good aspects of the exchange email accounts

One of the good things about exchange email accounts is that it gives the user a very user friendly interface, easy to work with, allowing the client to edit his or her email message in an editor resembling Microsoft Word, thus giving the chance to edit even the slightest characteristics. Another good thing about them is that the security level is almost to the maximum, no one besides you will be able to access the email database, they are kept in a very restrictive manner (the biggest advantage is that they are kept in your personal computer in an encrypted file), well organized by Microsoft Outlook and sorted either by date, importance, name, sender (this is a very good aspect because you have many email filters) and you can easily search through them by using keywords in the Outlook main screen.

The bad aspects of the exchange email accounts

One of the bad aspects for the exchange email accounts is that the only program able to use them is Microsoft Outlook (for Windows users). This means that you will need to install the Microsoft Office package for your company thus you will need to buy licenses every once in a while. Another downside of this type of emails is that if you already have an email from Yahoo, Google or any other company, you will not be able to use it with Microsoft Outlook due to the protocols and other restrictions and you will be forced to create a new email, this time an exchange email account, that will work in Microsoft Outlook. Exchange email accounts are a very easy and good asset for any company either small or large. Generally, every employee in big companies have their own internal email accounts where they receive important news about the company, colleagues and from their bosses.
